Stage 1 — RMA Initiation.
Customers request a return through your branded portal (Loop Returns and Returnly integrations available, or a Ship Velocity-hosted RMA flow).
An RMA number and prepaid return shipping label are generated automatically.
Return reasons are captured for downstream analytics.
Stage 2 — Inspection and Grading.
When the return arrives at our warehouse, each item is photographed, weighed, and inspected against your grading rules.
Items are graded as new, like-new, refurbishable, damaged, or non-recoverable.
Inspection reports with photos are logged to the dashboard.
Stage 3 — Restock, Refurbish, Donate, or Dispose.
Sellable items are cleaned as needed and restocked into pickable inventory.
Refurbishable items go through your defined refurb workflow (repackaging, minor repair, re-labeling).
Damaged goods are quarantined for insurance claims.
Non-recoverable items are donated or disposed per your rules and compliance requirements.
Stage 4 — Customer Notification and Refund.
Once inspection is complete, your ecommerce platform is automatically updated to trigger the refund, exchange, or store credit.
Customers receive an email within minutes.
Standard turnaround from return receipt to refund trigger is 24 to 48 hours.
